Are you looking for an efficient way to manage and organize all your contacts in one place? Long ago, we used paper address book to store all contact information. However, it was easy to lose. With the development of digital technology, we started using online address books, which is more convenient. However, with the emergence of various contact systems, such as Google, Outlook, iCloud, etc. It becomes troublesome to manage all contacts from different systems. Fortunately, there are some professional contact managers can help you. After testing more than 10 Windows contact management software, I picked out 5 of the best ones to introduce to you, helping you keep your contact list organized.

#1 Cisdem ContactsMate

Cisdem ContactsMate is the best contact management software for Windows users, providing a range of powerful features to help you manage and organize all your contacts. This tool enables you to sync contacts from popular services such as Google, Outlook. It also supports importing contacts from CSV files. If your contact file is in other formats such as Excel, vCard, it can also be easily imported to this tool, but a simple conversion is required.

With ContactsMate, you can view, add, edit, tag, group, delete, import, export, transfer and email contacts as your like. While most contacts systems provide these features themselves, this tool let you manage all contacts from different platforms in one place, making contact management more efficient and less time-consuming. You can even transfer contacts with a simple drag-and-drop. For example, easily transfer selected contacts from Google to Outlook. All changes made in this contacts manager are automatically synced with the corresponding contact systems.

It provides a useful Merge and Revise feature, which can help you find and remove duplicate contacts. This feature is much more efficient than you finding duplicates manually. In addition to exact duplicate contacts, it also identifies contacts with duplicate name, duplicate phone number, duplicate email addresses, etc. You can choose to delete, merge, edit, or ignore the duplicates. After using it to clean up hundreds of duplicate contacts in my Google and Outlook accounts, I feel like my contact lists are much more organized. Additionally, it helps you fix contacts formatting errors, such as invalid phone numbers, incomplete name, and unusual prefix, ensuring your contact list is always organized.

#2 Free Address Book

Free Address Book is a simple and easy-to-use contact manager for Windows. I think this tool is more suitable for personal users that don’t have large numbers of contacts to manage. Unlike ContactsMate, it doesn’t supports syncing contacts directly from contacts services like Outlook, Google, etc. It enables you to import contacts from CSV file. Also you can manually add contact cards, which is time-consuming. You can add custom fields in tools based on your needs, such as to record a contact's preferences or adding additional information.

It provides a powerful search function that supports searching contacts by different fields, such as first name, last name, phone number, email, etc. When you only remember part of a contact's information, you can still quickly find it in a huge contact list.

Although this Windows contact manager is completely free, there are no pop-up ads during use, which gives me a good user experience. I found their official account on Facebook, but it seems that it has not been active for several years. The user support of this software may not be as good as ContactsMate.

Pros:

  1. It has a simple and clear interface.
  2. It supports adding custom fields.
  3. Let you import contacts from CSV file.
  4. Let you export your contacts to CSV.
  5. Free to use.

Cons:

  1. It only offers basic contact management features.
  2. The process of importing contacts from CSV is a bit cumbersome.

#3 C-Organizer

This Windows contact management software is much more feature-rich than the above two. It cost more but can meet the advanced needs of some users.

I found that it not only has a Contacts tab to manage large numbers of contacts, it also provides built-in Calendar and Tasks features. Through these features, you can directly associate meetings, to-do tasks, etc. with certain contacts. At the same time, it provides reminder feature, which is very helpful for users with a lot of working tasks every day.

However, from the contact management function alone, I think it is not as good as ContactsMate and Free Address Book. For example, you need to double-click a contact name to view the details. And the info panel is not very intuitive. When importing contacts from a CSV file, it requires you to map the fields in the source fields list to fields in the destination fields list one by one. It cannot automatically complete this step, which is inconvenient.

This tool does a great job in data security. It provides a password protection feature to ensure that your contact information cannot be accessed by unauthorized users. You can choose to lock an individual section of this contact manager or all sections.

Pros:

  1. It is very suitable for business users.
  2. It has 3 different interface styles.
  3. Feature-richer than other contact managers.
  4. Password protection feature can ensure users’ data security.
  5. Let you import contacts from CSV files.
  6. It offers backup and restore feature.

Cons:

  1. It is a bit expensive.
  2. The contacts importing feature is not convenient.

#4 My Personal Address Book

My Personal Address Book is a free contact management software for Windows. After using it, I think it is very suitable for older users, or non tech savvy users. The font size of the app is larger than most other apps and its functions are relatively simple.

You can create multiple groups in the left column, such as “Client”, “Family”, “Friends”, etc. And add as many contact cards as you want. This makes it more efficient when you need to find a specific contact, especially if you have a large number of contacts.

It supports importing contacts from Microsoft Outlook or CSV files. It also let you export the entire contact list or a group of contacts to CSV or XML file.

This tool has a useful Print feature. You can print individual contacts, or batch print the entire contact list or a group of contacts. There are multiple print sizes for you to choose from, which is convenient for users who need a paper address book. It can also be used to backup contacts.

Pros:

  2. Let you import and export contacts easily.
  3. Let you add reminders to Windows calendar.
  4. Help you print various size address books.
  5. Help you backup and restore contacts with ease.

Cons:

  1. Lacks some advanced contact management features.
  2. It doesn’t support adding custom fields.

Is the People app in the new Outlook for Windows a good contact manager?

Yes, the People app is also a good contact management software for Windows.

This tool is built into the new Outlook on Windows PC. Open the new Outlook, you can find a People icon on the left column. If you are still using classic Outlook, it’s recommended to switch to the new Outlook by clicking the “Try the New Outlook” button in the upper-right corner.

It can sync contacts from different sources, such as your Microsoft account, Exchange account, Google account, and more. You can view, add, and edit contacts directly in People without having to jump into other apps. And it integrates with other apps of Microsoft including Outlook Mail, Calendar, Word, Excel, and PowerPoint, which can boost productivity while working. When you receive an email in Outlook, it enables you to view the sender details from the email and save it as your contact.

Although the People app provides many advanced features, its user interface is simple and clean.
